The job requisition form

When managers need to hire one or more colleagues for their team, the first step is to fill out a requisition.

The requisition is a form that justifies the need for hiring – it makes the case for why you need one or more people in your team. It should include all the necessary information about the desired candidate (skills, abilities, qualifications) as well as the characteristics of the position (location, employment period, salary, etc). Based on this information, the HR team can recruit the right candidates.

After the requisition is created and the request is approved, the recruitment process can begin.

Set up the requisition form

To begin using job requisitions, you first need to define their format and the fields they will contain. 

In Mingle, you can customize the requisition form with the fields you need.

To set up the form, click on your name in the upper right corner of the menu bar. Navigate to Settings > Requisitions .

Here you will be able to choose which fields appear in the form and whether they will be mandatory or optional.

Field types for the requisition form

Here are the fields you can include in the form, as well as the type of information they contain:

Position title
Free text
The name of the role or position. This field is always mandatory. Don’t worry if there are multiple requisitions with the same title. Each one automatically receives a unique ID to differentiate them.
Department
Single-choice dropdown
The department to which the role belongs. New departments can be added to the list when creating a new requisition, if a corresponding department doesn't still exist.
Location
Single-choice dropdown
The corresponding location for the role. New locations can be added to the list when creating a new requisition, if a corresponding location doesn't still exist.
Number of positions
Number
The number of positions needed: how many people need to be hired for the same job.
Gross salary
Currency
A range-type field where one can set the minimum and maximum gross salary, the currency and the period (Monthly/Annually).
Recruiting reason
Single-choice dropdown
A field with standard options: New position / Replacement / Other reason. For the “Replacement” and “Other reason” options, a new input field will appear to enter the name of the replaced person or the reason for recruitment.
Contract duration
Single-choice field
A field with standard options: Indefinite / Fixed-term (with the number of months specified).
Position is budgeted
Single-choice field
A field with two standard options: Yes / No.
Position description and requirements
Free text
A useful field for filling in details about job responsibilities, requirements or the need for a hiring one or more people. This field is for internal use only and will not be visible to candidates.
Employment type
Single-choice dropdown
A field with three standard options: Full-time / Part-time / Contract.
Seniority
Single-choice dropdown
A field with five standard options: No experience / Junior / Middle / Senior / Executive
Schedule
Single-choice dropdown
A customizable field that allows you to define a list of options directly from the requisition page.
Direct supervisor
Single-choice dropdown
A customizable field that allows you to define a list of options directly from the requisition page.
Attention:

Once defined, the form is unique for all the requisitions that will be created.

Save the form

After you have set up the structure of the form, click the Save button located at the bottom of the page.

Edit the form

You can change the structure of the form at any time.

When editing the form, keep the following in mind:

  • If you eliminate a field from the form, it will be removed from all requisitions, even those where it was initially completed. The information from this field will not be deleted and will reappear in the requisition page if you reactivate it later.
